**REMOTE POSITION**
General Description and Purpose
Full-time Administrative position. Responsible for various duties required for the efficient operation of the Enrollment Services Office.
Primary Functions/Responsibilities
The Online Student Enrollment Advisor is the frontline advisor and facilitator for the flow of enrollment information between EDUKAN, Pratt Community College, and prospective/current students. The position serves as a liaison. Responsibilities include providing direction and oversight for college enrollment activities and the flow of student information on college policies, practices, and rules. The position contributes to student services duties from the time of initial inquiry through the completion of Start Verification. The goal of the position is to assist in transitioning the student from inquiry into the virtual classroom, by assuring online services and communications with students are met, by maintaining close collaboration with team members to assure goals are met daily.
Primary Functions / Responsibilities
- Monitor enrollments and ensure all enrollment correspondence are extended to students via Pratt Operations. EDUKAN CRM Communication is Automated.
- Monitor and ensure enrollments are transferred from EDUKAN to Pratt Community College daily.
- Produce daily pending reports, holding college accountable for pending status as outlined in the CRM system.
- Is responsible for curtesy follow-up calls and student support per student assignments, until active status conversion rate is at 90% or higher. Responsible for up to 120 -150 calls or text are to be made daily. If the process is working correctly these calls will be minimal for the position. Responsible for the uses and management of Send Grid software.
- Responsible for the development and assignment of student enrollments. Expected to work collaboratively with college, and EDUKAN staff to complete enrollments and convert pending status to active. Position will conduct collaborative weekly SCRUB Meetings.
- Manage, facilitate, and assure college team members are completing the enrollment process and flipping students to active status immediately upon completion of the process.
- Assure determination of late enrollment eligibility rules are followed, and process accordingly. Work with Pratt as needed to complete the late enrollment process and get the student into the course.
- Once late enrollment is completed work with student and faculty for course engagement and catch up.
- Responsible for reporting and seeking guidance from the Chie Executive Officer when enrollment operations fall short, and administrative intervention is required.
- Responsible for the submission of process adjustments policies and or procedures and working collaboratively with the Manager of Strategic Alignment and Operations to develop and implement.
- Facilitate the coordination of data management, maintain supportive documentation, and conduct the Enrollment Merger Meeting as outlined in the policy.
- Responsible for Tracking Enrollment to Active Status per session end and complies the Enrollment Summary Report.
- Responsible for Tracking Active minus No Shows, per session end and complies the Enrollment Summary Report.
- Responsible for Tracking Final Starts minus Drops per session end and complies the Enrollment Summery Report.
- Collect In-State vs. Out-of-State Enrollments Report information and apply to the Enrollment Summary Report.
- Completes, distributes, and posts to the “G” drive at the end of each session and at the end of term the Enrollment Summary Report within 48 hours of completion.
- Per assigned student work collaboratively with HS Advisors for student activity and grade reporting process. Run activity reports or grade information as needed.
- Work collaboratively with Academics via the Start Verification process to assure retention and starts of enrollments.
- Monitor and address assigned student enrollment issues via phone correspondence. Any issues outside of enrollment forward to the appropriate resource. Pratt Admissions, Business Office, Financial Aid, or Technology.
- Provide Vice President of Enrollments & EDUKAN Chief Executive Officer a weekly scrub report for enrollment and payment activities.
- Provide outstanding customer service and act as a key point of contact with assigned students during the enrollment process.
- Responsible for assuring any/all needed interactions with College & Staff, Students, and EDUKAN Team are responded to within 48 hours of request.
- Responsible for maintaining confidentiality of student information when working with all College and EDUKAN teams.
- Complete all other duties as assigned by the Chief Executive Officer in a timely manner.
Coordination and Accountability Tasks
Coordinate, Manage, and Facilitate all enrollment related activities.
Maintain a working relationship with all employees regarding employment matters, personnel policies, and procedures.
Responsible for consulting on a regular basis with director to inform him/her of any actions, circumstances and outcomes that were carried out on their behalf.
Supervises the Following Staff
Responsible for communications with students enrolling in online courses.
Required Knowledge, Skills, Abilities, and other Characteristics.
- Knowledge of principles and processes for providing customer service. This includes student needs assessment, meeting quality standards for services, and evaluation of student satisfaction with the enrollment process and experience.
- Knowledge of administrative and clerical procedures and systems, proficient in Microsoft Office (Word, Excel, PowerPoint), managing files/ records, and other office procedures and terminology.
- Oral and written comprehension.
- Knowledge of principles and procedures for academic recruitment.
- Strong communication; oral presentation.

Experience
Two to five years of similar or related experience with a keen understanding and insight into student needs for enrollment.
Education
High School Education or GED
Certifications and/or Licensure
Willingness to obtain appropriate licensure i.e. SHRM, etc.
